Receipts and documents: receipt scanning that finds the bank entry itself

Your company gets its own email address for receipts and one for invoices. Forward the receipt, connect Gmail or Outlook, or upload the file. Veneti reads the document, compares amount and date, and attaches it to the bank entry it belongs to.

  • Your own email for receipts and invoices
  • Gmail and Outlook: receipts are fetched by themselves
  • The document is attached to its entry
  • The file follows the entry through the whole accounts

Three ways in for a document

  1. Forward to your company’s own address

Every company in Veneti is born with two addresses: one for receipts and one for invoices. Forward the receipt from your email, or give the address to the supplier so they send directly. A receipt that only exists in the email body is saved as a PDF. The addresses are listed under Integrations and are ready from the day the company is created.

  2. Connect Gmail or Outlook

Connect your own Gmail or Outlook under Integrations, and Veneti fetches receipts that match bank entries without a document: searched by the supplier and the amount around the transaction date. You can press Fetch receipts, and otherwise it runs every night.

  3. Upload the file

Drop the file into Veneti as a PDF, JPG or PNG and it is matched, or attach it straight to the line in the journal with the paperclip, which also takes Word and Excel.

The document is attached to the right bank entry

Veneti reads the receipt, searches the bank entries without a document and compares amount and date. When they fit, the document is attached to the line, and you see the paperclip in the journal. If the bank entry is already booked without a document, the receipt can be placed on the booked voucher when the match is certain; a booked voucher receives a document once and never a new one.

What was sent to the addresses is listed in the receipt log behind the Receipts line in the journal, matched or not; receipts fetched from Gmail or Outlook have their own log on the mailbox card under Integrations. A receipt that did not find its line stays until the bank entry arrives, and is tried again every night. You can delete it from the log, and you can attach the file to the line yourself with the paperclip.

What you see in the journal

  • The File column shows the paperclip when a document is on the line. A click opens the file beside the categorisation.
  • The account and VAT code are suggested on the line, with the reasoning beside them.
  • The Receipts line in the journal shows when receipts were last fetched and matched, and opens the log.
  • When you book, the file follows the entry to Booked entries and the reports, and it is included in the export of all documents.
  • Supplier invoices take another route: the invoice address turns the invoice into a voucher with supplier, amount and due date. Read more under supplier invoices.

You decide

A receipt on a line in the journal can be replaced or removed until the line is booked. You can delete a line in the receipt log that does not belong here, and you can attach a document to a line yourself. You press Book, and the document on a booked entry is not changed afterwards.

The Danish Bookkeeping Act requires that every entry can be traced to its document and that the documents are kept. In Veneti the file sits on the entry and is included in the data export. Read the guide on documents and the Bookkeeping Act, or look up the term voucher.

Which plans include receipt scanning?

The receipt and invoice addresses, the Gmail and Outlook integration and uploads are included in every plan, Free included. It is booked vouchers that count towards the plan, not receipts: Free has 5 vouchers per month, Pro and Pro+ 100 and Max 500, pooled over the financial year. See the pricing, or get started.

Questions

What if the receipt arrives before the bank entry does?

Then it stays in the receipt log and is tried again every time new bank entries arrive. When the entry arrives, the receipt is attached.

Which file types can I use?

PDF, JPG and PNG for receipts to be matched; the paperclip on a line also takes Word and Excel. A receipt that only exists in the email body, with no attachment, is saved as a PDF.

Can I give the address to my suppliers?

Yes. Receipts go to the receipt address and invoices to the invoice address, so they land in the right place without passing through your inbox.

Does Veneti read my whole mailbox?

No. With Gmail or Outlook connected, Veneti searches for receipts that match bank entries without a document, by supplier and amount around the transaction date. Those are the emails that are fetched.

What happens to the documents if I leave?

They are yours. You download all documents as ZIP files with an index linking each file to its voucher, and the bookkeeping as SAF-T and CSV.
