Several companies under one user account, with roles and accountant access

The holding company and the operating company, or all your clients’ companies, sit under one user account, and you switch between them at the top of the screen. In every company each person has a role that decides what they can see and do.

  • All your companies under one user account
  • Four roles: Owner, Administrator, User and Read access
  • Accountant access with one invitation
  • Two-factor authentication on your sign-in

All companies under one sign-in

You create a company by finding it by name or CVR number, and you can create as many as you need. Each company has its own bookkeeping, chart of accounts, bank, inbox and plan, and nothing crosses between them. Prices apply per company. Each company is created with its chart of accounts, VAT codes, inbox and customer invoice ready from the start, and its name, address and financial year come from the CVR register; you switch company at the top of the screen, and the journal, reports and settings follow. That suits holding companies with an operating company underneath, and bookkeepers who keep all their clients’ companies under one user account.

Four roles

RoleWhat the role can do
OwnerEverything. There is one owner per company, and only the owner can hand the ownership on.
AdministratorAs the owner: book, edit master data, connect bank, email and e-invoicing, invite and remove members, change plan.
UserBook, send invoices, edit master data and fetch the bank and receipts. Does not connect integrations and does not manage members.
Read accessSee everything: the journal, the booked entries, the reports and the documents. Changes nothing.

What the screen hides from a role, the database refuses too: Read access cannot write by any route, and a User cannot connect a bank.

Invite your accountant and colleagues

Invite by email as an Administrator, a User or with Read access. Your accountant typically gets Read access and sees the accounts without changing them; a bookkeeper gets User and can book. A User can carry the title Bookkeeper or Accountant on the member card, so it is clear who is who. An invitation never grants ownership: the owner moves it to a member who has accepted their invitation, and the owner becomes an administrator. The invitation is sent by email and accepted with the recipient’s own sign-in; if the person has no sign-in yet, it is created along the way. The owner and administrators can change a member’s role and remove a member again.

Bookkeepers and accountants keep their clients’ companies gathered under one user account and switch between them without signing out. Read more about accountant access for bookkeepers.

Sign-in, locked books and traces

  • Two-factor authentication: protect your sign-in with a code from an authenticator app on your phone. Once it is on, the password alone opens no company; the code is required every time.
  • Booked entries cannot be changed. Errors are corrected through new entries, a reversal, so the history stays whole.
  • Every booked entry carries who booked it and when, and that is included in the export of Booked entries.
  • Every change that matters is recorded: who, what and when.
  • Data and files are hosted in the EU.

Questions

Can my accountant or bookkeeper get access?

Yes. Invite them by email as a User or with Read access. Read access lets them view the accounts without making changes, and a user can later be promoted to Administrator.

Can a bookkeeper keep all their clients under one user account?

Yes. Each client invites the bookkeeper to their company, and the bookkeeper switches between the companies at the top of the screen.

Who pays for the company?

Each company has its own plan and pays for itself. Free requires no payment details.

Can I hand the ownership on?

Yes. The owner transfers the ownership to a member who has accepted their invitation, with immediate effect. The previous owner becomes an administrator.
