What are e-invoices, NemHandel and Peppol?
An e-invoice is structured data, not a picture of an invoice: the recipient’s system reads the supplier, amount, VAT and due date without anyone typing. NemHandel is the Danish network the public sector receives invoices on, and Peppol is the European one. Public customers require e-invoices, and private businesses can receive them the same way.
The advantage is practical: no PDF to read, no typing errors in amount and date, and a message back that the invoice was received. The format is the same whether the recipient is a municipality or an ApS.
The guide E-invoicing, NemHandel and Peppol walks through the terms, the requirements and the addresses at an easy pace.
How to switch on e-invoicing
Activate under Integrations
The owner or an administrator presses Activate on the E-invoicing card under Integrations and accepts the terms. Veneti registers the company on the networks under its CVR number.
The company can receive
The company is registered to receive on its CVR number on both NemHandel and Peppol. If the company has an EAN number (GLN), it can be registered to receive on NemHandel as well. A CVR number can be active in one company only.
Send from the customer invoice
From then on you can choose Send as e-invoice on any customer invoice. The recipient is addressed by CVR number, EAN number (GLN), P number or SE number.
Send e-invoices to customers
On the customer invoice you choose Send as e-invoice and the customer’s e-invoicing address. Before the invoice is sent, Veneti checks that the recipient can receive on the network and tells you if not; then you send it as a PDF instead. The invoice is booked in the same press, numbered automatically and shown in the app as sent as an e-invoice. Credit notes go the same way.
The address is the number the customer has registered on the network: the CVR number for most businesses, the EAN number (GLN, 13 digits) for the public sector and larger companies, or a P number or SE number where the customer has registered one. If you are unsure which address the customer uses, ask the customer before sending the first time.
Receive e-invoices from suppliers
Your suppliers’ e-invoices are fetched every night and from the card under Integrations, and each invoice becomes a voucher in the journal of the type supplier invoice: supplier, invoice number, amount and due date come from the e-invoice itself, an account and VAT code are suggested, and the original XML is kept beside the PDF and follows the voucher when it is booked.
Veneti sends the supplier a response by itself, wherever the network can deliver it: that the invoice was received when it is imported, that it was accepted when it is booked, and that it was rejected if you delete it without booking. If the same invoice arrives both as an e-invoice and as a PDF by email, you book one and delete the other; the supplier is then told that the invoice was accepted once it is booked on the other voucher. Questions
Do I need an EAN number to receive e-invoices?
No. The company receives on its CVR number on both NemHandel and Peppol. If you have an EAN number (GLN), it can be registered to receive on NemHandel as well.
How do I send to a public customer?
Choose Send as e-invoice on the customer invoice and enter the customer’s EAN number (GLN) or CVR number. Public customers receive through NemHandel.
What happens if the recipient cannot receive e-invoices?
Veneti checks the recipient before the invoice is sent and tells you. Then you send it as a PDF by email from the same invoice.
Is the supplier told that I have received the invoice?
Veneti sends a response by itself when the invoice is received, when it is booked, and if it is deleted without being booked; it arrives wherever the supplier’s network can deliver it.
