Supplier invoices: read, categorised and ready for payment

The invoice arrives by itself: as an e-invoice through Peppol and NemHandel or by email to your company’s own invoice address. Veneti reads the supplier, amount and due date, finds the supplier and suggests an account and VAT code, so the invoice is ready to be booked and paid.

  • Your own address for supplier invoices
  • Supplier, amount and due date are read automatically
  • Amount, due date and account details ready for payment
  • Open items and due dates on the Payables report

The invoice arrives by itself

  1. E-invoice

Suppliers who send e-invoices through Peppol or NemHandel reach the company directly on its CVR number. The invoice is fetched every night and becomes a voucher in the journal with every field read from the e-invoice itself.

  2. Email to the invoice address

The company has its own invoice address. Give it to your suppliers, or forward the invoice there, and the PDF is read and a voucher created. An invoice that only exists in the email body is saved as a PDF first.

  3. Upload

If you have the invoice as a file, you upload it in the journal or hand it to Luca, who creates the voucher and shows it to you for approval.

Read and categorised, ready in the journal

Veneti reads the supplier, invoice number, amount, currency and due date, finds the supplier in your register or creates it with a lookup in the CVR register, and suggests an account and VAT code based on your chart of accounts and what you have booked before. In the voucher’s sheet you see the invoice beside the fields, so you can check everything on one screen. An invoice in a foreign currency is booked in DKK at the Danish central bank’s daily rate, and the invoice’s own currency and amount are shown on the voucher.

If the invoice is a purchase of a machine, a car or anything else to be depreciated, you switch Asset on in the voucher and enter the lifetime in months; Assets is switched on once under Settings → Features. The depreciations are then placed in the journal month by month. Read about fixed assets and depreciation.

Ready for payment

Veneti reads the supplier’s account number or IBAN from the invoice together with the amount and due date and shows them on the voucher beside the invoice itself, so you have everything you need when you pay. The invoice stands ready to be booked and to be paid: you book it in the journal, and you pay it in your online bank when it falls due.

The payment arrives as a bank entry through the bank connection, is booked as a supplier payment and settled against the invoice with Settle. The Payables report shows every supplier’s balance, account statement and open items with due dates, so you can always see what is to be paid, and when.

You decide

The invoice stays in the journal until you have reviewed it and pressed Book. You change the account, VAT code and text on the line, and you decide when to pay. A booked voucher is locked and is corrected with a reversal. A supplier’s credit note arrives the same way with a negative amount. Look up creditor for the term.

Which plans include supplier invoices?

The invoice address, e-invoicing and the reading are included in every plan. A supplier invoice is one voucher in the plan’s allowance, and the payment from the bank is another: Free has 5 vouchers per month, Pro and Pro+ 100, Max 500, pooled over the financial year. Questions

What do I do with invoices that arrive in my personal email?

Forward them to your company’s invoice address, and they are read and placed in the journal. Better still: give the supplier the address, so they send directly.

Where do I pay the invoice?

In your online bank, when it falls due. The supplier’s account number or IBAN, the amount and the due date are read from the invoice and shown on the voucher, so you have it all at hand, and the payment arrives as a bank entry like any other.

Is the payment settled against the invoice by itself?

The payment arrives as a bank entry, which you book as a supplier payment and settle against the invoice with Settle. The Payables report shows what is open.

What about a credit note from the supplier?

It arrives the same way as the invoice, with a negative amount, and is settled against the invoice.

Does Veneti book the invoice without me?

No. The invoice stays in the journal with a suggested account and VAT code until you have reviewed it and pressed Book.
