What to export from Billy
Billy is called Shine Regnskab today, and the export is under Reports → Data exports (Rapporter → Eksport in Danish). Download three files as CSV: the chart of accounts, the contacts and the posting journal. Choose the period All time for the journal, so every year and every transaction is in one file; one file per year works too. A year's journal holds only that year's movements and no opening balances, so the history has to begin with the company's first year in Billy, or the balance at the start is missing. And Billy numbers transactions when they are made, not by date, so with the whole period in one file nothing falls between two years.
The documents are in Billy's backup: Reports → Data exports → Backup → Download gives a ZIP file with one folder per transaction. The backup takes a period too, so choose the whole period. It is optional and does not hold the move back.
How Veneti reads the files
Send the three files to support@veneti.dk. If the journal begins with a transaction number above 1, it was exported for a shorter period than the company's time in Billy, since Billy numbers from 1; download it for All time instead. If your Billy account is set to English, the files are read the same way.
Every transaction becomes one voucher in Veneti with Billy's transaction number in its note, so you can always find it again. The contacts become customers and suppliers, and on the debtor and creditor lines the customer or supplier is read from the text as Billy writes it: invoice, payment, credit note or bill. The open items are set up per customer and supplier, so payments can be settled against them, and the documents from the backup are attached to their transactions. Billy exports no accounting years and no closed periods, so the accounting years are set up from the company's founding date and stay open until you close them yourself under Accounting years.
Keep your chart of accounts, or move to the standard chart
You choose one of three ways for the chart of accounts when you ask us to move your bookkeeping. Keep the chart from Billy as it is, so account numbers and names stay the same. Take Venetis standard chart, where every account from Billy is mapped to an account in the standard chart and you approve the mapping before anything is loaded. Or take the standard chart with a few accounts of your own. The VAT codes are ready from the start whichever you choose; the standard chart is described in the guide to the chart of accounts.
Reconciled to the last øre
The postings and the open items are proven one by one: every transaction from Billy is in Veneti once with the same date and amount, Veneti holds no transaction the journal does not, and every settlement nets to zero. The balance of every account is checked against Billy's own reports, so the figures are the same as before. A difference is listed with an explanation.
The history, the plan and the bank
The moved history does not count towards your plan's vouchers, however many years and postings it holds. So choose a plan by how much you will book from now on: Free has 5 vouchers a month, Pro and Pro+ 100 and Max 500, pooled over the accounting year. There is no lock-in, and you can change plan at any time.
Connect the bank through open banking: sign in with MitID in your own online bank, choose the account the transactions are booked on, and set the start date to the day of the switch. From that day every bank line arrives as a line in the journal with a suggested account and VAT code; everything before the date is the history from Billy, so nothing is booked twice. You send customer invoices from Veneti as PDF or e-invoice, and the whole bookkeeping can always be downloaded again as SAF-T, CSV and every document as ZIP under Data export. Get started.
What does not come with you
- Products: you create the goods and services for the customer invoice under Products.
- Closed periods: Billy does not export them, so you close the accounting years yourself under Accounting years when you are ready.
- The years before the journal's first transaction: if the journal begins above number 1, download it for All time, so the history is whole.
Questions
Where do I find the export in Billy?
Under Reports → Data exports (Rapporter → Eksport in Danish): the chart of accounts, the contacts and the posting journal as CSV, and the backup under Reports → Data exports → Backup → Download.
Should I export the whole period or one year at a time?
The whole period, All time. A year's journal holds only that year's movements, and Billy numbers transactions when they are made, so with every year in one file nothing falls between two years. Take the backup for the whole period for the same reason.
What does it mean if the journal begins above transaction number 1?
Billy numbers transactions from 1. If the journal begins above 1, it was exported for a shorter period than the company's time in Billy, and the balance at the start is missing. Download the journal for All time again.
How do I bring the documents from Billy?
From the backup under Reports → Data exports → Backup → Download, taken for the whole period. It holds one folder per transaction, and every document is attached to its transaction. The backup is optional and does not hold the move back.
Do I keep my account numbers from Billy?
Yes, if you choose to keep the chart of accounts as it is. If you choose the standard chart, every account from Billy is mapped to an account in the standard chart, and you approve the mapping before anything is loaded.
