Accounts for property companies with rent invoicing

A property company lives on the rent arriving on time. Veneti sends the rent invoice automatically every month, matches the payment when it lands in the bank, and shows you at once who still owes, for every company you own.

  • Rent is invoiced automatically every month
  • Payments are matched to the invoices automatically
  • Several property companies under one user account
  • Bank lines are coded, you approve

What a property company books

Rent every month from every tenant, and on the other side mortgage instalments and interest, property tax, insurance, maintenance, electricity and heating, the caretaker and the administrator. It is the same handful of entries month after month, and what makes work is the collection: the invoice has to go out on the first, and the payments have to be reconciled against the tenants.

If you let residential property, the rent is VAT exempt; commercial leases can be voluntarily VAT registered, and then the VAT must be reported for every period. Several properties often sit in a company each, so the books have to be kept apart but seen from one place.

The rent is invoiced by itself

Create the rent invoice to the tenant once, switch on Create subscription, and choose monthly. The invoice is then issued, sent and booked by itself every month, as a PDF by email or as an e-invoice. You choose the date of the first invoice, and if the rent goes up, you change the line on the subscription so the next invoice follows. When the tenant moves out, you pause the subscription. See customer invoices.

When the tenant pays, Veneti matches the payment against the invoice without you doing anything. Under Receivables you see each tenant's account statement, balance and open items, and overdue rent can be sent a reminder. Ask Luca who still owes, and get the answer with amounts and due dates.

Subscriptions run in DKK, and every rent invoice counts as one voucher in the plan.

The bank and the costs are coded

You connect the property company's bank through open banking with MitID and choose the account and the start date. Transactions arrive every day: the mortgage instalment, the insurance and the caretaker's invoice land in the journal with a suggested account and VAT code and the reasoning beside the line. You approve and book. See banking and coding.

Invoices from tradespeople and the administrator are sent to the company's own invoice address or as e-invoices; the supplier, amount, due date and account details are read, and the invoice is ready to book and to pay in the bank. The payment arrives with the bank's transactions and is settled against the invoice with Settle. The income statement, balance sheet and cash flows update as you post, and every figure opens to the entries behind it.

Several property companies under one user account

Each company is its own company in Veneti with its own bank, chart of accounts, tenants and plan, and you see them all from the same sign-in. The holding company above them sits in the same place. Co-owners, the administrator and the accountant you invite by email with the role they need: Administrator, User or Read access. See multiple companies and roles.

Which plan fits, and how to start

A company with one property and a few tenants typically books under 100 vouchers a month and fits Pro at 229 kr. per month excl. VAT; the vouchers are pooled over the financial year. A company with one lease and a handful of entries can sit on Free with 5 vouchers per month. With many leases, Max with 500 vouchers per month at 499 kr. is the plan, and if the co-owners want a monthly report as PDF, PowerPoint or Excel, that is Pro+ at 249 kr. or Max. The price applies per company with no commitment.

Get started with the first company, or move the bookkeeping from e-conomic, Dinero or Billy: we do it free of charge within 48 hours, reconciled to the last øre, and migrated history does not count towards the plan's vouchers.

Questions

Can the rent be sent automatically every month?

Yes. Create the invoice once with Create subscription and monthly, and it is issued, sent and booked by itself every month, as a PDF by email or as an e-invoice. Subscriptions run in DKK.

What happens when the tenant pays?

The payment arrives with the bank and is matched automatically against the rent invoice. Under Receivables you see each tenant's balance and open items, and overdue rent can be sent a reminder.

What do I do when a tenant moves out?

Pause the subscription, or delete it, and no further invoices are issued. A new tenant gets their own subscription from the date you choose.

Can I have several property companies?

Yes. All your companies sit under one user account, each with its own bank, chart of accounts, tenants and plan, and you switch between them without signing out.
